That Bingo Party is operated by Stephanie Laura Williams LLC, trading as That Bingo Party. We run interactive event entertainment for corporate clients, schools and private events in the United States and Australia.

This policy explains what we collect when you use thatbingoparty.com or enquire about an event, why we collect it, and what you can do about it. If you would rather just ask a person: goodtimes@thatbingoparty.com.

The short version

We collect the details you give us when you enquire about an event, plus basic anonymous statistics about how people use our website. We use them to reply to you, run your event, and invoice you. We do not sell your data, and we do not share it with anyone except the service providers listed below who help us operate the business.

What we collect

When you enquire about an event

Your name
Your email address and phone number
Your company, school or organisation
Event details — type of event, preferred date, guest numbers, venue, and anything you tell us in your message

When you become a client

Billing contact details and invoicing records
Event production details — run sheets, venue contacts, AV requirements, timings

When you visit our website

Pages viewed and time spent
Approximate location at country or city level, derived from IP address
Device and browser type
The site or search that referred you

We do not collect payment card numbers. Card details are entered directly with our payment processor and are never visible to us.

Why we collect it

To respond to your enquiry. This is the main reason, and usually the only one.
To deliver an event you have booked — planning, production and communication before and on the day.
To invoice you and keep proper financial records, as required by tax law.
To improve the website, using aggregate statistics about which pages are useful.
To send occasional follow-ups about a booking or enquiry already in progress. We do not add enquirers to a marketing list.

Who we share it with

We use a small number of established service providers to run the business. Each holds data only to provide their service to us:

Zoho CRM and Zoho Mail — enquiry records and client correspondence
Webflow — website hosting and contact form submissions
Netlify — website hosting and delivery
Google Analytics — anonymous website usage statistics
Stripe — invoicing and payment processing

We may also disclose information where we are legally required to, or where it is necessary to establish or defend a legal claim.

We do not sell your personal information, and we do not share it for cross-context behavioural advertising.

International transfers

We operate in both the United States and Australia, and our providers store data in the United States and elsewhere. If you are contacting us from Australia, the EU or the UK, your information will be transferred to and stored in the United States. We only use providers who offer recognised safeguards for international transfers.

How long we keep it

Enquiries that do not become bookings: up to 2 years, then deleted.
Client and event records: 7 years from the end of the engagement, to meet tax and record-keeping obligations.
Website analytics: 14 months, in aggregate form.

Your rights

Wherever you are, you can ask us to:

Tell you what personal information we hold about you
Correct anything that is wrong or out of date
Delete it, where we are not legally required to keep it
Send you a copy in a portable format
Stop using it for a particular purpose

Email goodtimes@thatbingoparty.com and we will respond within 30 days. We will not charge you, and we will not treat you differently for asking.

If you are in Australia: we handle personal information consistently with the Australian Privacy Principles. If you are unhappy with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

If you are in California: you have the right to know, delete, correct and opt out of sale or sharing of your personal information. We do not sell or share personal information, so there is nothing to opt out of. You will never be discriminated against for exercising these rights.

If you are in the EU or UK: you may lodge a complaint with your local data protection authority.

Cookies

We use a small number of cookies, including Google Analytics. Full detail is in our Cookie Policy.

Children

Our website and services are aimed at businesses, schools and adults organising events. We do not knowingly collect personal information from children. Where we run school fundraisers, our client is the school or its parents association, not the students.

Security

We use reputable providers with encryption in transit, access controls on our systems, and multi-factor authentication where available. No system is perfectly secure, but we take this seriously and we would tell you promptly if something went wrong that affected you.
